Newcastle Hospitals Charity began a new approach to monitoring and evaluation in May 2023 – informed by the NHS Charities Together Monitoring and Evaluation Toolkit. The initial aims were to provide:
- Ongoing evaluation that provides assurance that proposals are being undertaken as expected and as outlined in the initial proposal application
- Measurement of both the intended and unintended benefits of the charity’s proposal funding
- Demonstration of the impact of funding to wider audiences
Our monitoring and evaluation model is based on the level of funding requested. Recipients of funding will be asked to:
Funding value | Evaluation information requested |
Small proposals (£0-£5,000) | Short survey six months after the initiation of the project asking for: – Numbers of beneficiaries supported by the project – Initial feedback of the project’s implementation and early impact – Expenditure report – Quotes from beneficiaries, both patient and/or staff Optional: – Photographs/videos of the project ‘in action’ – Art/drawings/paintings from recipients if appropriate |
Medium proposals: above £5,001 to £20,000 | As above but the following is now required and not optional: – Photographs/videos of the project ‘in action’ Optional: – Art/drawings/paintings from recipients if appropriate |
Large proposals: above £20,000 | Requirements will be bespoke and documented in the funding agreement: – Requirement to provide interim reports to include both qualitative (testimonies from staff/patients, evidence gleaned based on the ambitions of the project) and quantitative (numbers of beneficiaries, numbers of sessions facilitated, etc) data. Research: Where the Charity makes a ‘large’ or ‘very’ large proposal for a formal research project, as above plus: – Final versions of any publications – An end of proposal one-page ‘laymen’s terms’ summary – Commitment to send us a short report three years after the end of the proposal |
The charity reserves the right to cancel or withdraw funding on the basis of non-compliance with acknowledgment and monitoring requirements or other indicators of lack of progress (i.e. low level of expenditure in relation to the timescales agreed for a grant).
Failure to work with the charity as needed when reporting on previous funding provided may be taken into account in the assessment of future proposals.
